In modern legal practice, clients expect real-time updates and secure communication. The LexOS Clients module centralizes all client data and governs their access to the external Client Portal, ensuring they only see the specific cases and documents you explicitly share with them.
Step 1: Accessing the Client Directory
To view your firm’s roster of active clients, navigate to the left-hand sidebar under Practice Management and click on Clients.
This opens the master directory, displaying a clean, scannable table with the following key data points:
- Name: The individual or corporate entity you are representing.
- Email & Phone: Primary contact details for immediate communication and system notifications.
- Portal Status: A visual indicator (such as a green checkmark) showing whether this client has successfully activated their Secure Client Portal account.
Step 2: Onboarding a New Client
When taking on a new brief, the first step is adding the client to the system.
- Click the teal New client button located in the top right corner of the directory.
- Fill out their comprehensive profile, including contact numbers, registered email addresses, and billing information.
- Once saved, this client profile becomes available to link to new Case Files, ensuring all future War Rooms, Schedules, and Invoices are properly attributed.
Step 3: Enabling the Secure Client Portal
The most powerful feature of the Client Management module is the ability to grant portal access. The Portal column in your directory features a green checkmark for clients who are actively connected to the system.
What does the Client Portal do? When you invite a client to the portal, they receive a secure login to a restricted, read-only version of LexOS. Inside, they can:
- Track Case Progress: View high-level status updates for their active matters without needing to call the firm.
- Download Deliverables: Access specific files that your staff have explicitly toggled as "Accessible to Client" from the LexOS Iron Dome.
- Review & Pay Invoices: View their billing history, download official receipts, and see outstanding balances.
Step 4: Strict Data Isolation
Because LexOS is built on a multi-tenant, zero-trust architecture, a client can never see data they do not own. If Mr. Anderson logs into his portal, he will only see the State vs. Fouchix. case and documents linked directly to his client ID. He physically cannot access internal War Room chats, firm-wide templates, or another client's records.
