While the LexOS email invitation system is perfect for self-guided onboarding, there are times when a SAN, Partner, or Practice Manager needs to instantly provision a workspace for a new hire or existing team member.
This guide covers how to directly create staff accounts, assign their security clearances, and map them to their respective departments from within the Iron Vault.
Step 1: Access the Staff Directory
Log in to your LexOS dashboard and look at the main navigation sidebar on the left. Under the Firm Management group, click on Staff Directory.
This is your firm's active roster. You will see all current personnel, their roles, and their departmental assignments.
Step 2: Create a New Team Member
At the top right of the Staff Directory table, click the New Team Member (or Create) button. This opens the direct provisioning form.
Fill out the staff member's credentials:
- Full Name & Work Email: Enter their official details.
- Password: Create a temporary secure password (they can change this later in their account settings).
- Assign Role: Select their security clearance (e.g., Senior Associate, Filing Officer). This dictates what actions they can perform across the system.
- Assign Department (Crucial): Select the department this staff member belongs to (e.g., Litigation, Corporate Mergers). Note: Because LexOS utilizes strict "Department Walls," a staff member will only be able to view cases assigned to their specific department. If you are creating a firm-wide administrative role (like a Practice Manager), you may leave this blank.
Click Create. The user is immediately provisioned and can log in at lexos.fouchix.com/admin/login.
Step 3: Retroactive "Quick Assign" for Departments
If your firm already has existing staff members who were registered before departments were established, you do not need to edit them one by one.

- On the Staff Directory page, locate the staff member missing a department.
- In the actions column on the right side of their row, click the Assign Unit button.
- A sleek mini-modal will appear. Select the correct department from the dropdown and click Save.
The staff member is instantly mapped to their new department, and their case visibility will update immediately upon their next page refresh.
