The LexOS Document Management System (Iron Dome)

In legal practice, a lost document is a lost case. LexOS centralizes your firm's entire physical and digital filing system into a secure, encrypted environment.

Documents in LexOS are strictly categorized by context and visibility. A file can be a strictly internal Firm-Wide Document (like HR policies), a protected Case-Specific Document (evidence and War Room strategy), or a Client-Facing Document (finalized contracts or court rulings shared directly to the client's secure portal).

Here is how to manage your firm’s digital paperwork and client deliverables.


Step 1: Accessing the Document Repository

Navigate to the left sidebar and click on Documents. This opens the global document table, providing a bird's-eye view of all files currently active within your firm.


Step 2: Uploading & Categorizing a File

To add a new file to the system, click the New Document button at the top right.

  1. File Upload: Drag and drop your file or click to browse. LexOS supports all standard legal formats (PDFs, Word Documents, Excel sheets, and image files for evidence).
  2. File Name & Description: Give the document a clear, searchable title and a brief description of its contents.
  3. Context Linking: * If this is a general template (e.g., Standard NDA Template), leave the Case Link dropdown empty. It will be saved as an internal Firm-Wide Document.
    • If this file is evidence or a filing for a specific matter, select the corresponding case from the Case Link dropdown.


Step 3: The Client Portal Bridge (External Visibility)

When you link a document to a specific case, a new security control becomes available: the Client Visibility Toggle.

  • Internal Only (Default): By default, uploaded case files are strictly internal. They remain safely behind the firm's Department Wall for your legal team to review.
  • Accessible to Client: If you toggle this option to "Yes," LexOS securely pushes a read-only copy of this specific document to that client's external LexOS Portal. When the client logs in, they will immediately see the file under their case documents.

This eliminates the need to email sensitive PDFs back and forth. You control exactly what the client sees, and when they see it.


Step 4: Security and "Department Walls" (Internal)

For your internal staff, document visibility is strictly enforced by the LexOS architecture:

  • Firm-Wide Documents: Visible to all active staff members in the firm.
  • Case-Specific Documents: Once a document is linked to a case, it instantly inherits that case's security protocols. It disappears from the global view of anyone outside of that specific case's Department. Only lawyers assigned to that department (or Partners with a Temporary Vault Key) can view or download it.


Step 5: Secure Vault Sharing

Need to quickly reference a file in a War Room strategy session? Inside any active case's Pulse Chat, click the Vault icon (the open folder). This pulls up your accessible documents. Clicking Share Link instantly drops a secure, internal reference to that document directly into the encrypted chat stream for your colleagues to review.
